OUR ROLE & ASSESSMENT FRAMEWORK

Define the role. Assess before deployment.

We have designed an acceptance and reassessment process based on role responsibilities, permissions and result evidence. The hotel and product team agree the scope and assessment criteria.

Company-defined framework · a method overview, not a record of completed hotel or employee acceptance

Applies to
Hotel roles, channels, languages and operations agreed by both parties
Required evidence
Task sources, result receipts and independent hotel review; missing evidence is not a pass

Five shared assessment dimensions

  1. 01

    Responsibilities & permissions

Define the role, channels, languages and operations. Act only within hotel authorisation.

  2. 02

    Accuracy & service quality

Check sources, rules and key fields, and assess whether responses and deliverables fit the actual task.

  3. 03

    Verifiable handovers & results

Distinguish submitted, received and completed work. Confirm results through receipts and human review.

  4. 04

    Safety & human continuity

Identify sensitive, exceptional or out-of-scope requests. Stop affected actions and hand over to authorised people.

  5. 05

    Monitoring & reassessment

Observe quality and corrective work. Reassess after material changes to information, permissions or interfaces.

Five roles, with distinct priorities

RoleResponsibilitiesAssessment focus
Lucy

Respond to guest questions in multiple languages using hotel-approved knowledge and current service conditions. Create a service ticket when someone on the property needs to act. Keep the request, context and next step together. Track progress and report completion only after a fulfilment receipt. Keep unresolved work visible. Connect relevant in-house offers and repeat-stay opportunities within hotel permissions and guest preferences.

Assessment focusAnswer from approved hotel knowledge. Create a ticket only for work that needs on-property staff, and confirm completion only against a real fulfilment receipt. Staff handle on-property service, sensitive complaints and commitments outside authorised limits.

Max

Receive authorised orders from multiple OTAs, offline travel agencies, companies and groups around the clock; extract and check dates, room types, rates, policies and other key fields. Enter reservations into the connected PMS and read back key fields and confirmation status. Keep source references. Flag missing fields and duplicates, process changes and cancellations, and log conflicts or failures for a person. Reduce repetitive entry and checks so reservation staff can focus on sales and conversations. Accuracy depends on data and systems.

Assessment focusWork within verified integrations and hotel permissions. Read back PMS records after writing and preserve context for missing data, conflicts, duplicates and failures. Compatibility with every channel or PMS and perfect accuracy are not assumed.

Star

Generate articles, images and videos from hotel information, with human review before publication through authorised media. The hotel controls fact checking, brand expression and publication. Follow enquiries on agreed social channels. Capture source, dates, party size, room needs and next step for Lucy, Max or hotel staff. Identify explicit public travel intent within permitted sources and contact people only through authorised accounts. Connect review, reputation and source-market signals with content planning and service insight. No guaranteed leads or sales.

Assessment focusArticles, images and videos require human review and authorised publication. Enquiry follow-up and intent-based outreach follow platform rules, account permissions and agreed contact scope. Leads and sales are not guaranteed.

Clara

Analyse historical performance, on-the-books reservations, booking pace, cancellations and channel mix. Align periods and definitions. Compare room types, packages, budgets and the hotel's human forecast; explain differences and limits. Provide reasoned advice on rates, inventory, channels and packages, with supporting context. The hotel approves action and reviews actual performance. Clara does not guarantee occupancy, ADR or revenue outcomes.

Assessment focusAdvice depends on authorised data, definitions and assumptions. The hotel retains final decisions on pricing, channels, room types and packages. Occupancy, average rates and revenue outcomes are not guaranteed.

Albert

Agree ownership and update rules for connected channels, the other four roles, and authorised meeting, email and work-group records. Preserve sources, timestamps, versions and access permissions. Separate confirmed knowledge from pending or outdated material. Reconstruct events and find the records behind a decision, with context people can check. Support staff changes. Hotel-confirmed knowledge can inform the other roles. Answers stay within connected information and access rights.

Assessment focusUse connected, authorised records and enforce source access permissions. Model summaries are not automatically facts. Albert cannot know or recover events that were never recorded.

Acceptance is a process with defined scope

  1. 01

    Agree the scope

The hotel and product team confirm the role, enabled channels, languages, permissions and assessment criteria.

  2. 02

    Test isolated scenarios

Check task results, exceptions and safety boundaries. Keep matters with insufficient evidence unresolved.

  3. 03

    Confirm deployment together

Complete required checks and corrective work. Both parties approve the accepted scope before deployment within it.

  4. 04

    Monitor and reassess

Observe quality and corrective work. Reassess affected capabilities after material changes.

A company framework, not external certification
